Skipping Items in Document Libraries that use Custom Columns

When an Item is added to a document library that uses custom columns, two events occur in SharePoint. An event occurs once the list item is added, and an event occurs when metadata is set for the item. If a Skip rule is set up, the rule is not processed on the first event, the list item add, it is processed on the second event. This results in the initial replication of a list event that may need to be filtered, as per the skip rule's specification. In order to set ensure that the rule filters on the first event, you must complete the following steps:

·Make at least one of the custom columns required. This prevents SharePoint from saving the document until a value is set for the column.

·Give at least one of the custom columns a default value and set a rule that does not replicate the item until the value is changed.

·Make a general rule that skips replication when the custom columns are blank.

Complex Rule Logic

The following is an explanation of how to create rules that mimic complex rule logic:

·Use an AND clause to specify multiple conditions within a single rule. All conditions must be met for the actions to be processed.

·Use an OR clause to specify multiple rules. Each rule is processed in order, regardless of the result of the previous rules.

·To stop processing after a set of conditions is met, use the Stop Processing Rules action. After this action, no other rule processing is done for the list item.
 

For extremely complex rules, we recommend creating a new calculated column in SharePoint and entering the rule logic there. This column can be hidden from views and a simple Replicator Rule can be built that uses the resulting value osf the calculated column.
