Folders in Intelligence Central

Toad Intelligence Central provides two types of folders for storing objects: secured folders and non-secured folders. Secured folders have visibility (sharing) manage, and publishing privileges assigned to them. Non-secured folders do not.

An Intelligence Central server can have one or both types of folders. An Administrator configures which user role/roles are allowed to create secured folders and which types of folders can be created. Notes:

  • This feature is available in the Toad Data Point Professional edition only and requires access to a Toad Intelligence Central server.
  • Secured folders are supported by Toad Intelligence Central 5.0 or later.

Folder Types in Intelligence Central

Icon Folder Description
Non-secured folder—Visible to all users.

Secured folder—Secured are special folders in Intelligence Central and are visible only to users with which the folder has been shared. A secured folder can be managed by users with manage privileges to the folder. Users with the publish privilege can publish to the folder.

Users with the Administrator role can view and manage all secured folders.

Create Folders

You can use the Object Explorer to create a new folder. A folder can also be created at the time an object is published.

Restrictions

  • You cannot create a secured folder in a non-secured folder.
  • You cannot create a non-secured folder in a secured folder.
  • Folder creation is restricted to the folder types specified by the server-level Folder Security settings.
  • To create a secured folder, the user's role must have permissions granted by the server-level Folder Security settings.
  • To create a subfolder in a secured folder, you must have manage privileges to the parent secured folder.

To create a new folder

  1. In the Object Explorer, select a folder to serve as the parent folder.

    To create a folder at the root level, select the No folder assigned folder.

  2. Click .
  3. In the Create Folder dialog, enter a name for the new folder.
  4. To create a secured folder, select Set as Secured Folder.

    • If this option is disabled, creation of secured folders is not allowed, either at the server level or in the selected parent folder.
    • If the option is selected but not editable, folder creation is restricted to secured folders only, either at the server-level or because the parent folder is a secured folder.
  5. (Secured folder) After a secured folder is created, you can then modify the sharing/visibility and manage privileges, if necessary. Initially, only the folder creator and users with the Administrator role have visibility and manage privileges to the folder.

Secured Folders

Secured folders are special folders in Intelligence Central. Secured folders have sharing/visibility, manage, and publish privileges; non-secured folders do not.

Secured Folder Characteristics

  • The sharing and manage privileges specified for a secured folder are also applied to all objects in the folder.
  • When an object is published to a secured folder, the object automatically inherits the sharing (visibility) and manage privileges applied to the secured folder.
  • To publish to a secured folder, the publisher must have publish privileges to the secured folder.

Specify Sharing/Visibility and Manage Privileges

After a secured folder is created, users with manage privileges to the folder can alter the sharing and manage options at any time.

To specify sharing/visibility and manage options for a secured folder

  1. Use one of the following methods:
    • In the Object Explorer select a secured folder and click . The Alter Visibility dialog opens.
    • If creating a new secured folder when publishing an object, click the Sharing link in the Publishing dialog. The Sharing settings page opens.

    Note: The sharing and manage options you specify for a secured folder are applied to all objects in the folder.

  2. In the Alter Visibility dialog (or Sharing settings page), use the arrows to add selected users (and groups) to the list in the right pane. You can include both individual users and groups.
  3. After specifying users (and groups) with which to share the folder, you can grant manage privileges. Select the check box in the Manage column for each user allowed to manage the folder and its objects.

    Select the check box in the Publish column for each user allowed to publish to this folder.

  4. Review the following additional options.

    Option Description
    Create Intelligence Central Group Click to create a new Intelligence Central group. This is useful if you repeatedly share objects with a set of users who do not already form a distinct group. See Create Intelligence Central Group for more information.
    Add Active Directory User

    Click to add a user from an Active Directory domain. See Add Active Directory User or Group for more information.

  5. Click Execute to save your changes and close the dialog.

Rules for Moving Objects into or out of a Secured Folder

Special rules apply when you move an object into or out of a secured folder.

  • To move an object into a secured folder, the user must be an Administrator or have manage privileges to the object and the secured folder.
  • If an object is moved into a secured folder, the object inherits the privileges of the secured folder, regardless of the object's original privileges.
  • When an object is moved from a secured folder into a non-secured folder, the object's manage privileges are retained. For visibility privileges, only users with manage privileges to the object will retain visibility, others will not.

Manage Privileges

Users with Manage privileges can do the following (unless the object is locked):

  • Lock the object
  • Drop the object
  • Modify the object's sharing options
  • Rename the object
  • (Automation scripts and Toad files) Edit the script or file
  • (Snapshot) Refresh snapshot or modify refresh schedule
  • (Automation scripts) Modify schedule
  • (Automation scripts) Change user account for script execution
  • (Views and Automation scripts) Modify the default value for a variable
  • (Data objects) Modify a shared (public) key password
  • (Views) Change the type of Authentication key
  • (Secured folders) Modify the folder's sharing and manage options
  • (Secured folders) Rename or delete the secured folder
  • (Secured folders) Create a subfolder
