Report Criteria Options

The following is a brief description of the most commonly used report criteria. Depending on the type of report you want to generate, certain fields may not be available. Also, the options available in certain fields may vary depending on your configuration.

There are dependencies between criteria values. Changing the value of one set of criteria may trigger refresh data in another. Dependencies include:

By default, this field displays your primary service domain, with additional service domains listed according to your access rights. The options available in many fields vary depending on the service domain you select.

The Record Status field is used only with certain reports in List format. This includes maintenance table reports and some data related reports where you are looking for something to be active or inactive. By selecting or deselecting the appropriate record status check box, the report includes values that are currently open or complete or both in your system

Select a specific change management module from the drop down or select Any to select all of the modules you have configured. Depending on your configuration, the options are PeopleSoft, Oracle Applications, Generic Applications, None or Any. Selection of a specific module determines the data displayed in the CSR Application, CSR Type, Workflow, Migration Path, Database, and Object Type fields.

Select a specific application from the list or select Any to include all applications.

Select a specific CSR type or select Any to include all CSR types.

Select a specific a workflow or select Any to include all workflows. The value displayed in this field can be determined by the values selected in the Service Domain, Change Management Module, and CSR Type fields. The field is disabled if there is no workflow available. Also, selecting a specific workflow can determine the value displayed in the Migration Path field.

Select a specific CSR priority from the list or select Any to include all priorities.

From the drop-down list, select a specific status or select Any to select all the statuses. The value displayed in this field can be determined by the values selected in the Service Domain, Change Management Module, and CSR Type fields. If you select a specific status, the Closed Status and Closed for Statistics options are automatically set to Any.

The Closed Status option defaults to Open. This displays all CSRs with a status equal to Open, such as Active, Pending Approval, and Assigned. If set to Closed, the report includes all CSRs with a status equal to Closed.

The Closed for Stats option defaults to Any. If set to Closed, the report displays CSRs with a status equal to Closed for Statistics.

Statuses are defined as Closed or Closed for Statistics by a system administrator.

Select a date option, such as Yesterday, from the drop down list. Stat enters the correct date information in the From and To date fields. To manually enter a specific date range, select Specific Date Range from the drop down list. To select the system default range, select Any from the drop down list. Then click the Browse button (...) in the From and To fields, and in the Calendar dialog boxes select the dates you want. You can also specify the hour and minutes of the date range. To retrieve CSRs without regard to Open Date, select the Any option from the list and keep the default settings in the From and To fields.

Select a date option, such as Past Due, from the drop down list. Stat enters the correct date information in the From and To date fields. To manually enter a specific date range, select Specific Date Range from the drop down list. To select the system default range, select Any from the drop down list. Then click the Browse button (...) in the From and To fields, and in the Calendar dialog boxes select the dates you want. You can also specify the hour and minutes of the date range. To retrieve CSRs without regard to Open Date, select the Any option from the list and keep the default settings in the From and To fields.

Enter a specific CSR ID to view a report on single CSR or select Any to include all CSRs.

Select a specific queue from the list or select Any to include all the queues.

Select a specific user from the list or select Any to include all the users.

Select a specific department from the list or select Any to include all departments.

Select a specific customer from the list or select Any to include all customers.

Select a specific developer from the list or select Any to include all developers.

If your report concerns objects, select the type of object you want information about or select Any to include all objects regardless of type.

Select a specific environment from the list or select Any to include all the environments. The environments displayed in this field are determined by the value selected in the Change Management Module field.

For CSR reports, select the user-assigned code for the project the CSRs you are interested in belong to.

Saving Report Criteria

You can save your criteria to use later with this report or with other reports that use the same format. You can also grant other users access to your criteria, if you have proper security rights, or you can save it for your own personal use.

Select the Personal option if you don’t want to grant access to other users. You can then use this criteria to run reports at a later time, or you can open the Personal Configuration window and on the Scheduled Reports tab schedule the Stat Central Agent to run the reports automatically.
Select the System option if you want to make the criteria available for report scheduling jobs to be run by Stat Central Agents, as defined in the Job Maintenance window. Any user who has access to the Job Maintenance window has access to this criteria. If you select the System option, the Available to all users option is enabled. Selecting this check box makes the criteria available to all members of the service domain for scheduling reports or running them interactively.

In the Description field, enter a brief description of the criteria.

Running Reports through Stat Web

Users that do not have access to the Stat Windows client can still view reports ‘on demand’ through Stat Web. Reports generated through Stat Web are displayed as .pdf files in the browser window or as Excel files. They are considered ‘on demand’ reports because they can be viewed by Stat Web account holders at any time, not according to the time the reports are scheduled in the Stat Windows client to be emailed, exported, or printed.

To view a report in Stat Web, the report must have available criteria that was previously defined and saved in the Stat Windows client.

Scheduling Reports

You can configure Stat to print, export, or email certain reports automatically at scheduled time intervals. Stat can do this while you are away, and it does not require your computer to be on. For example, you can schedule a CSR by Status report to be emailed every Monday at 7 A.M. to all the members of your development team.

Automatically printing, exporting, or emailing reports are jobs performed by the Stat Central Agent. For more information, see the Stat System Administration Guide, Chapter 6, “Configuring the Stat Central Agent.”

To schedule a report you need to know:

You can schedule report jobs either through the Stat Report Wizard or the Schedule Reports tab of the Personal Configuration window:

In the Stat Support Console, click Setup. Then in the Personal Configuration window, select the Schedule Reports tab.
Select Reports | Report Wizard. Then in the Report Action section, select the Schedule option and click Next.

Both the Stat Report Wizard and the Scheduled Reports tab list all your scheduled print or email report jobs by service domain. To edit or view the details of a scheduled job, select it and then click Details.... This opens the Job Maintenance window. From here you can temporarily disable the job, change the day/time it runs, or just verify the schedule. This window is discussed in greater detail in the Stat System Administration Guide, Chapter 6, “Configuring the Stat Central Agent.”

To permanently remove a job from the system, select the job and click Delete. Stat displays a message box prompting you to confirm the deletion. Click Yes. If you want to run this job again in the future, you must reschedule it. If you only want to prevent a job from running temporarily, disable it rather than deleting it.

The Scheduled Reports tab displays the following information:

Service Domain - The selected service domain is the data source for the report.
Enabled - If this box is checked, the report runs according to the schedule you specify. The report is disabled if the box is deselected.
Job ID - A system generated number which uniquely identifies your scheduled report in Stat.
Description - Displays the report description.
Last Updated - The date and time the job was last modified.
Updated By - The user who last updated the job.

In the Service Domain field, select the service domain from which you want to run the report.

Depending on the type of job you want to schedule, click Print Job... (which is also used for exporting reports) or Email Job....

In the Description field, enter a description that will identify the job on the Scheduled Report tab.
The defaults are Print Report and Email Report. It is recommended that you enter a unique description if you have multiple jobs scheduled. For example, a job that prints all CSRs assigned to you could be “Print All My CSRs.”

If you want to temporarily prevent Stat from processing this job, deselect the Job Enabled option. To resume the scheduled job, select the option.

In the Category field, select the report category you want.

In the Report field, scroll down and select the report you want to print or email.
NOTE: Not all Stat reports can be scheduled. The Report field displays only the reports in the selected category that can be scheduled.

In the Criteria field, scroll down and select the previously saved criteria you want to use to run this report.

In the Day Schedule field, select the type of schedule you want:
The Day of Week option allows you to run the job on specific days of the week
The Day of Month option allows you to run the job on the first or last day of the month

In the Time Schedule field, select the type of schedule you want:
Select the Scheduled Hours option if you want to run the job at specific hours of the day. Select the hours you want the job to run by checking the appropriate boxes. The hours are listed in military format. If you want the report to run at a time other than on the hour, you can also specify the exact minute by entering the value directly in the minutes after hour field.
Select the Minute Intervals option if you want to run the report throughout the day at intervals of less than one hour. Enter the number of minutes between printings.
If scheduling a print job, select Printer in the Print Report To field. Then in the Printer field, select a printer from the list of available printers. Printers are defined by your system administrator.
If scheduling an export job, select File in the Print Report To field. Then in the Destination field, type the location where you want to export the file, or click the Folder icon and select the location. When specifying a location, remember to use the drive mappings of the Stat Central Agent and not those of your PC.
If scheduling an email job, specify the recipients in the email field. The procedure for specifying email recipients in Stat is described in the Stat System Administration Guide, Chapter 7, “Email Configuration.” For more information, see your system administrator.

In the Recipient Type field and either select User if you want to add an individual user or select Class if you want to add a user class.

In the Recipient field, select either the individual user or user class you want to add.

Click OK or Apply.

Click Refresh to see your job displayed in the Scheduled Reports tab.
