Before you start your migration project with Power365, set yourself up for success by meeting the Requirements. We also recommend reviewing the Projects topic. It will provide a more comprehensive tour through the various project types and options available in Power365.
After you have prepared your environments based on the requirements follow these steps to create your project, prepare for coexistence (if applicable) and get organized for mailbox migrations.
- Create your Project. Log into Power365, choose your project type and follow the configuration wizard that will guide you through the project definition process. Depending on the project type, you will be asked to configure various components, such as Address Book Sync, Public Folder & Group Migration, Calendar Availability or Email Rewrite Services. Don’t worry, as the project wizard guides you through the configuration process, help will be provided at each step so you don’t miss any important details.
- Discover your Users. During the project setup, depending on your project type you will either manually import your users using a CSV file or Power365 can automatically discover your user for you. Don’t forget, if you are using the “Basic Migration” or "Advanced Migration" project type, you will need to pre-create the target mailboxes prior to project setup. If you choose the Premium Integration project type, we will discover and match your users and even mailbox enable them in the target when the time comes.
- Create your Migration Profiles. After your project is setup it is a good time to configure Migration Profiles. A Migration Profile offers granular control over migration parameters, such as the types of data to be copied, whether to include litigation hold items, or setting a limit on bad items, for example. A Migration Profile is assigned to a user or wave or users. Explore the Migration Profile options to determine what is best for your migration project. You can create multiple migration profiles to fit different types of users. For example, perhaps your staff employees will receive 90 days of migration mail and calendar where senior management will receive 365 days or their entire mailbox. The migration profile gives you the control you need to manage your migration efficiently and effectively.
- Prepare your Users. If you are using Premium Integration, then you must prepare all the required users for coexistence and eventual migration. You will select your users from the Dashboard, either manually, or by wave. When you choose the “Prepare” action a user object will be created in the target environment as a member or B2B guest user if there was no match during discovery. If there was a match during discovery, then the user object will be updated to become a Mail-Enabled Object (MEU) with a “TargetAddress” attribute value that points to the source mailbox. The user object will also be hidden from the GAL. Any mail in-bound for firstname.lastname@example.org will be redirected to the email@example.com based on the targetaddress. In addition to the user object, a Mail Contact object is created in the target environment that represents the source user during the pre-migration or coexistence phase of the project. The Mail Contact will be visible from the GAL during coexistence so the end-users in the target can easily locate the user that hasn’t been migrated yet. The Mail Contact will handle any mail or free/busy requests intended for the firstname.lastname@example.org. The Mail Contact will remain visible in the GAL until the Mailbox is cutover. More information about the cutover process is detailed in step 5 below.
- Sync your Mailboxes. After you have prepared all your users for coexistence (if applicable), it is now time to begin provisioning and synchronizing mailbox data. To start copying data from the source mailbox to the target mailbox; select the user(s) or wave, select the “Sync” action then click “Apply Action”. During the first sync, the target user will be Mailbox-Enabled to begin copying data into the target mailbox. The new Mailbox will remain hidden in the GAL and a forwarding address will be set to direct any inbound mail to the source mailbox. This action will maintain the pre-migration coexistence setup during the Prepare action. The Sync action can be executed manually, but it is best to set up a synchronization schedule. You will be offered the opportunity to do this during the initial project setup, but you can do this at any time via the Dashboard, just click the “Schedule Sync(s)” button.
- Cutover your Mailbox Users. When it is time to move users to the new tenant environment, you will run the “Cutover” action. This performs a final sync of the mailbox data but it also performs the necessary changes required to change mail routing to a Post-Migration phase of coexistence. The contacts that were created in the target environment will automatically transfer their address information to the new live target mailboxes and be hidden from the GAL. The hidden mailboxes that were provisioned by Power365, they are unhidden so that they appear in the target GAL. In addition to delta mailbox syncs and mail routing changes, the cutover action can be configured, using the Migration Profile to send an email notification to all users that their migration is complete and that the last step is to configure Outlook to use the new destination mailbox. The email will instruct them to download a Power365 executable (Outlook/Desktop Setup Pro) that will do the rest.
In addition to the primary actions detailed in the steps above, there are additional actions available in the various Power365 project types. The list below provides brief details on these additional actions. An action be executed against a selected user or a wave, depending on the action type. Some actions may be prevented depending on the status of the user selected.
- Match – This action will match an unmatched user against the target environment without the need to run a full discovery.
- Stop – This action will stop an active Mailbox Sync cycle.
- Archive – This action will remove a selected user from the Dashboard. Once the user is archived, it cannot be retrieved. Only run this action against users that were discovered but will not be migrated.
Send Cutover Email – This action will allow you to resend the cutover email notification to users.
Mark as Complete – This action will allow you to set the user, Office 365 Group or Team status to "complete" if the user, Office 365 Group or Team is in a state of Synced, Finalizing or Cutover Error.
- Send Guest Invite – This action will allow you to customize and send invite emails to B2B guest users.
- Rollback – This action will remove the migrated data from the target mailbox. This action will only remove mailbox data that was migrated by Power365.
- Add to Wave – This action will add a user to an existing wave or allow you to create a new wave.
- Add to Profile – This action will add a user to an existing Migration Profile or allow you to create a new profile.
- Export – This action will allow you to export any selected users to a CSV file for easy status reporting.
- Reset – This action will allow you to change the status of users and Office 365 Groups and Microsoft Teams in a Sync Error state to "Synced" or "No Match."
