NOTE: Archived email can be exported to PST files either in the Archive Manager’s Advanced Search feature, or from ArchiveWeb. More information regarding the actual functioning of these features are available in separate documents and this article will be focusing exclusively on how to perform a PST export of selected archived emails using the Advanced Search feature of Enterprise Manager. If you need to search based on keywords, this can ONLY be done using ArchiveWeb and the FullText search.
1. Open Enterprise Manager and click Advanced Search on the toolbar.
2. Use the search to generate a list of emails to be exported.
Note: If you would like to export all messages for an individual mailbox, you can leave all search criteria blank and search only that specific mailbox. If no search criteria is specified the search will return all messages in the archive for that mailbox.
3. Select the search results that you need to export. If you need to export all messages in the search results you can right click and choose Select all items from the menu
4. With your results selected right click and choose Save search result to file...
5. Save the search result file to a location, you will need to use this file to create the export task.
6. After saving the search results right click in the search window and choose the option Export data...
7. Enter a name for the task (use something you will recognize in case you need to look at the task later)
8. After entering the name click the Load... button and select the search results file you saved before.
9. After selecting the file the export wizard should show the number of loaded documents
10. Click Next to proceed to the next step in the wizard
11. On the next screen select the option for Export to a new PST file and click Next
12. On the Export settings select the appropriate options for the structure of the resulting .PST file.
- Create separate folder for each distinct mailbox will create a separate folder at the root of the main PST for each distinctive mailbox within the export contents.
You can choose to begin the Export task right away or to create the Export task in a wait mode and start it manually from Tools > Export Tasks in Enterprise Manager. The export tasks window is also useful for verifying whether an export task has run successfully. This can be handy for queuing multiple exports simultaneously.
13. On the Summary page, review the selected options and click Finish.
