Recovery Manager licensing is based on the total number of mailboxes located in the Exchange mailbox stores registered as storage. To install and use Recovery Manager, you need to obtain a Recovery Manager license file.
The Recovery Manager license file specifies the licensed number of mailboxes you can have in the registered mailbox stores. The license file contains a fixed number of licenses, which equals the number of licensed mailboxes. The licenses are allocated to mailboxes in a registered mailbox store at the moment you open the store in Recovery Manager.
The Recovery Manager behavior depends on the installed license file type. The types of license files that can be supplied for installation and use with Recovery Manager are:
- Single
- Ongoing
- Trial
To check which type of license file is installed:
1. In the console tree, click Licensing.
The details pane displays the Licensing view.
2. In the Installed license details box in the Licensing view, check the type of installed license next to the words License Type.
The following sections discuss the behavior of Recovery Manager when you have installed a specific type of license file.
SINGLE LICENSE FILE
When you are using Recovery Manager with a single license file installed, all features of Recovery Manager are fully available for your use. Validity period of the single license file may be limited.
While using Recovery Manager with this type of license file installed, you may receive the following warning messages.
Message 1
The total number of mailboxes this license permits you to have in all registered Exchange stores is <number>. The current number of mailboxes in all registered Exchange stores is <number>.
This message implies that you are approaching the licensed limit of mailboxes. The message displays in the following situations:
- When the overall number of mailboxes to which licenses are allocated reaches 95% to 98.99% of the licensed limit specified in the installed license file.
- When the overall number of mailboxes to which licenses are allocated reaches 99% to 99.99% of the licensed limit specified in the installed license file.
- When the overall number of mailboxes to which licenses are allocated equals the licensed limit specified in the installed license file.
Message 2
You cannot open this Exchange store because of the following license limitation:
- The total number of mailboxes in all registered Exchange stores cannot exceed <number>.
To open this Exchange store, purchase a new license for a greater number of mailboxes.
To purchase a new license, send an email to sales@quest.com or contact the nearest local sales office of Quest. To find out contact details of the nearest local sales office, follow this link: <http://www.quest.com/company/us_offices.asp>.
This message implies that you have exhausted the licensed limit of mailboxes, and there are no available licenses left in the license file.
To open the store:
- Obtain and install a new license file that allows you to work with a greater number of Exchange mailboxes.
Message 3
The product license has expired. Install a new license.

This message displays in a situation when the single license file validity period has expired. To continue using the product, you need to obtain and install a new valid license file.
ONGOING LICENSE FILE
When you are using Recovery Manager with an ongoing license file installed, all features of Recovery Manager are fully available for use. While using Recovery Manager with this type of license file installed, you may receive the following warning message:
Currently the total number of mailboxes in all registered Exchange stores is <number>. The total number of mailboxes you license permits is <number>. Although you still can use all features of this product, you are in violation of the software license agreement. Purchase and install a new license,
To purchase a new license, send an email to sales@quest.com or contact the nearest local sales office of Quest. To find out contact details of the nearest local sales office, follow this link: <http://www.quest.com/company/us_offices.asp>.
This message will display every time you perform any of the following actions:
- Start Recovery Manager.
- Start search by using the Find dialog box.
- Perform a restore operation.
- Open a registered storage for the first time.
- Preview an Outlook item.
To stop this warning message from appearing:
- Obtain and install a new license that permits you to work with a greater number of Exchange mailboxes.
TRIAL LICENSE FILE
A trial license file is only intended for the product evaluation. Validity period of a trial license file may be limited. When a trial license file is installed, there exists the following Recovery Manager functionality limitation:
- You can only browse, search, and restore 10% of the Outlook items in all registered storage.
NOTE: The Outlook items that you can browse, search, and restore in a particular storage remain the same every time you reopen that storage.
The trial license file may have a limited validity period. While using Recovery Manager with the trial license file installed, you may receive the following warning messages.
Message 1
You have a trial license installed. This license imposes the following limitations:
- The total number of mailboxes in all registered Exchange stores cannot exceed <number>.
- You can only browse, search, and restore 10% of messages in all registered Exchange stores.
To purchase a full license or extend this trial license, send an email to sales@quest.com or contact the nearest local sales office of Quest. To find out contact details of the nearest local sales office, follow this link: <http://www.quest.com/company/us_offices.asp>.
This message displays every time you start Recovery Manager when there remain more than 15 days until the trial license file expiration.
Message 2
You have a trial license installed. The trial license expires in <number> days. This license imposes the following limitations:
- The total number of mailboxes in all registered Exchange stores cannot exceed <number>.
- You can only browse, search, and restore 10% of messages in all registered Exchange stores.
To purchase a full license or extend this trial license, send an email to sales@quest.com or contact the nearest local sales office of Quest. To find out contact details of the nearest local sales office, follow this link: <http://www.quest.com/company/us_offices.asp>.
This message displays every time you start Recovery Manager when there remain 15 days or less until the trial license file expiration.
Message 3
You cannot open this Exchange store because of the following trial license limitation:
- The total number of mailboxes in all registered and opened Exchange stores cannot exceed <number>.
To open this Exchange store, purchase a full license, obtain a new trial license for a greater number of mailboxes.

This message displays in a situation when the trial license file does not have enough available licenses left to allocate to the mailboxes in the store being opened.
